Privacy policy
How Rooted Web looks after the personal information you share, in plain English.
This policy explains what personal information Rooted Web collects, why, and what your rights are. I keep it simple: I only collect what I need to reply to you and to work with you, I don’t sell it, and I don’t use tracking or advertising cookies.
Who I am
Rooted Web is run by Charlotte McConnell, a sole trader based in Llandrindod Wells, Powys. I’m responsible for (the “controller” of) the personal information described here. You can contact me about anything in this policy at hello@rootedweb.co.uk.
What I collect
When you use the contact form
The form asks for your name, email address, business name (optional), the service you’re interested in and your message. I use this only to reply to your enquiry and, if you’d like to go ahead, to prepare a quote.
When you email me
I receive your email address and anything you include in your message.
When we work together
If you become a client, I keep the contact details, project information and invoices needed to do the work and to meet my legal and tax obligations.
When you visit the website
Like most websites, the server that hosts this site keeps technical logs, such as IP addresses, browser type and the pages requested, to keep the site secure and working. I don’t use these to identify you.
Why I use it (the lawful basis)
- Replying to enquiries: it’s in our legitimate interests for me to respond when you get in touch, and if you’re asking about a project, it’s a step towards a possible contract.
- Doing the work: to carry out a contract with you.
- Records and accounts: to meet my legal obligations, such as keeping financial records.
- Website security: legitimate interests in keeping the site safe and working.
Cookies and tracking
This website doesn’t set any cookies of its own and doesn’t use Google Analytics, advertising or tracking tools. I use Google Search Console, which shows me how the site appears in Google search results, such as which searches it shows up for. It works from Google’s own search data and doesn’t add tracking or cookies to this website.
Who else handles your information
I use a small number of trusted services to run the website and my business. They only process your information to provide their service:
- FormSubmit (formsubmit.co) receives messages sent through the contact form and forwards them to my email. It may show a check to confirm you’re not a robot.
- Hostinger hosts this website and keeps the server logs described above.
- Adobe Fonts and Google Fonts supply the fonts used on this site. When a page loads, your browser requests the fonts from their servers, which means they receive your IP address.
- My email provider stores the emails we exchange.
Some of these services may process information outside the UK. Where they do, they’re expected to protect it with safeguards recognised under UK data protection law. I never sell your information or share it for marketing.
How long I keep it
I keep enquiries only for as long as they’re needed, for example while we’re talking about a project, and then delete them. If you become a client, I keep project and financial records for as long as the law requires.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information I hold about you
- ask me to correct anything that’s wrong
- ask me to delete your information
- object to, or ask me to limit, how I use it
- ask for your information in a format you can take elsewhere

Complaints
If you’re unhappy with how I’ve handled your information, please tell me first and I’ll do my best to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
I’ll update this page if anything changes. The date at the top shows when it was last updated.
